Not enough memory - error when new charts are added to a workbook in MS Excel

MS Excel spreadsheets are used for a variety of purposes whenever we think of storing data in a tabular format. This format facilitates visibility and renders access to data in a fluid and comfortable manner but error boxes that appear when you add new charts to a workbook should not be dealt with lightly as they are the precursors that intimate us about impending data loss situations that might wreak havoc in our lives.

Provided below are a few common error messages that flash on the screen when new charts are added to a workbook in MS Excel:-

• “Not enough memory” error
• Run-time error ‘1004′:

Method ‘Add’ of object ‘Sheets’ failed (this error occurs when you are using a Microsoft Visual Basic for Applications macro to add chart sheets to a workbook)

Instances when these error messages are most frequently reflected:-

• When you attempt to add a new chart to a workbook
• When you try to access the chart data source
• If you have added more than 124 charts to a workbook when editing the workbook in Microsoft Excel 97 or Microsoft Excel 97 Service Release 1
• If you have used multiple fonts in the worksheets of your workbook
• If you have opted to use the embedded charts

Why it happens:

In most cases, the problem occurs even when one adds fewer than 124 charts and the reason to substantiate this is use multiple fonts in worksheets contained in the workbook. Microsoft Excel 97 permits a program to use a maximum of 256 fonts. When a chart is created, it uses a maximum of two fonts if the Auto scale check box for that particular chart is selected. On adding another chart to the workbook, the total number of fonts used becomes 257 thereby exceeding the limit by one. This prompts the error to appear.

Yet another occasion when the error is displayed is when new charts are added to a workbook that contains previous charts that might have been added in the earlier versions of Microsoft Excel thereby hindering the extra charts from opening.

The error message appears when embedded charts from a worksheet are removed to add additional charts without previously saving, closing, and then reopening the workbook. Errors can be stopped from appearing if chart sheets or worksheets containing embedded charts are deleted to accommodate the new charts and this entails no saving, closing, and reopening of the workbook.

To work around this limitation, two procedures can be adopted. The first requires correcting the problem by modifying the registry using the Microsoft Excel 97 Service Release 2 (SR-2). This requires expert handling and improper modification can cause graver complications than what you are attempting to troubleshoot.

The other way of going about the problem involves two processes:-

• Turning off the Auto Scale Option for fonts in every Chart – this would enable one to extend the maximum number of charts that can be added to the workbook
• Moving the charts from one workbook to another might help and serves the purpose as it remains linked to the data in the original workbook
