It is not always easy to find the right conference centre for your event. Finding the perfect venue can be quite daunting as there are a seemingly infinite number of options on the market and finding the exact one to meet your precise needs can be a struggle. The decision is make ever more complex because there really is no reason to settle for a venue that is short of what you want. The perfect venue is out there. But knowing this can make it difficult to make that final decision. But as with everything in life it is easy if you know how and also like everything in life being prepared is key. If you have a good idea of how many people that you want to invite, the type of event you want to hold, the amount of money that you have to spend and an idea of what kind of location you would like then your search will be straightforward. If you can prioritise the level of importance of these factors then the choice you make will become even easier. Choosing by size Choosing the venue by size can be a very effective way of reducing the number of options to manageable levels. The number of people that you expect to attend the event will dramatically affect the type of venue that you need to use. If you want thousands of people to attend your event in comfort then you need to be sure that the venue can cater for them. The venue manager will always give you honest feedback when you ask him. They will never agree to take on a group that is too big for their venue as they will not be able to provide a high level of service that they would like to. After all they want to gain a good reputation and stuffing people in like sardines would be self defeating. The most important thing to think about aside from over filling a venue is for it to be too large for your event. If you want an intimate meeting with a few delegates then a large venue could lack the atmosphere that you require and your event could become stale. So make sure that you know how many people that will be attending and make sure the venue can suit your needs. Choosing by location How important is location to your event? This is usually dependent on the number of people that are expected to attend and the way in which you expect them to get to the event. If you are planning to have people fly in from all over the world then it is vital that you have your conference within easy access of an international airport. If you plan to invite thousands of people from London then it would be wise to choose a venue that is close to a London underground station. You really need to consider the travel arrangements for your guests as this is the single most damaging thing for your event. If your delegates have not slept well and have had a hard time getting to the venue then it is likely to affect their experience of the conference for the worse.
